Overview
The Practice Manager provides operational leadership and administrative oversight for ambulatory clinical operations across Internal Medicine, Urgent Care, and Medical Specialties at a Federally Qualified Health Center (FQHC). This role is responsible for the day-to-day management of Medical Assistant staffing, scheduling, and clinic operations to ensure efficient, high-quality, patient-centered care.
Clinical leadership and clinical decision-making are provided by Clinical Directors and specialty physician leaders. The Practice Manager partners closely with these leaders to support effective workflows, staff performance, access to care, and an exceptional patient experience across high-volume and complex specialty services.
Qualifications
Qualifications – Required
- Bachelor’s degree or equivalent experience in healthcare administration, nursing, or a related field.
- 3–5 years of experience in ambulatory healthcare operations or practice management.
- 1–3 years of supervisory experience managing clinical support staff.
- Strong understanding of outpatient workflows, particularly in primary care and/or urgent care settings.
Qualifications – Preferred
- Experience in an FQHC or community health center environment.
- Experience supporting Internal Medicine, Urgent Care, and/or medical specialty services.
- Familiarity with EHR systems, access management, and quality reporting.
- Experience partnering with physician leaders, advanced practice providers, or specialty medical directors.

Representative Job Duties
Key Responsibilities – Operational & Practice Management
- Oversee daily clinic operations across Internal Medicine, Urgent Care, and Medical Specialties, ensuring smooth patient flow, timely access, and efficient use of clinical resources.
- Serve as the primary operational partner to Clinical Directors and physician leaders within assigned service lines.
- Identify, escalate, and resolve operational challenges related to access, throughput, staffing, and patient experience.
- Support coordination across primary care, urgent care, and specialty services to promote continuity of care and appropriate referrals.
Key Responsibilities – Medical Assistant Staffing & Scheduling
- Lead the scheduling, deployment, and day-to-day supervision of Medical Assistants across all assigned departments.
- Develop and maintain staffing models aligned with clinic volume, provider templates, extended hours, and same-day demand, particularly for Urgent Care.
- Oversee hiring, onboarding, training, performance management, and corrective action for MA staff.
- Ensure appropriate cross-training of MA staff to support multiple service lines and fluctuating clinical demand.
- Monitor coverage and productivity to minimize disruptions to patient care.
Key Responsibilities – Staff Leadership & Development
- Provide ongoing coaching, feedback, and performance expectations to promote engagement, accountability, and professional growth.
- Foster a collaborative, respectful team culture aligned with organizational values, trauma-informed care, and health equity goals.
- Partner with Clinical Directors to align operational supervision with clinical competency expectations and scope-of-practice requirements.
- Support change management during workflow redesigns, new service launches, or growth in specialty programs.
Key Responsibilities – Workflow Optimization & Quality Support
- Support quality improvement initiatives and performance measures relevant to Internal Medicine, Urgent Care, and Medical Specialties.
- Ensure workflows support preventive care, chronic disease management, acute care delivery, specialty diagnostics, and care coordination.
- Monitor operational and access metrics and implement process improvements.
- Collaborate with quality, informatics, and clinical teams to standardize workflows across service lines where appropriate.
Key Responsibilities – Compliance & Systems
- Ensure compliance with regulatory requirements, OSHA standards, infection control practices, and organizational policies.
- Support effective use of the EHR, accurate documentation, and standardized clinical workflows by MA staff.
- Participate in audits, site readiness activities, and operational improvement initiatives.
- Ensure operational readiness for extended hours, walk-in care, and high-acuity urgent care workflows.
