The Patient Access and Optical Coordinator is responsible for ensuring patient insurance information and optical orders are accurately verified and prepared for daily visits. This role works closely with the front desk and billing teams to minimize claim denials and ensure timely reimbursement.

Qualifications
Skills
- Strong knowledge of ophthalmology practices combined with laboratory experience related to eye care diagnostics.
- Proficiency in EMR systems such as Epic for documentation and patient management.
- Familiarity with HIPAA regulations to ensure patient privacy and data security at all times.
- Excellent understanding of medical terminology, anatomy, physiology relevant to eye health, and medical coding processes.
- Experience working within clinical environments that serve pediatric populations or senior care patients.
- Retail management skills including retail sales techniques, retail math calculations, and inventory control strategies.
- Knowledge of aseptic techniques necessary for maintaining sterile environments during examinations or procedures.
- Ability to handle medical records accurately while supporting billing processes through proper documentation.
- Effective communication skills for liaising between patients, providers, laboratory staff, and administrative teams.
- Demonstrated leadership capabilities with experience supervising staff or coordinating multidisciplinary teams in a healthcare setting. Qualifications
- High school diploma or equivalent required; associate’s degree preferred.
- Prior experience in a healthcare, insurance, or optical setting strongly preferred.
- Working knowledge of Epic or similar electronic health record systems preferred.
- Excellent communication, customer service, and organizational skills.
- Ability to multitask, problem-solve, and work collaboratively in a team-oriented environment.
- Strong attention to detail and accuracy in data entry and insurance verification.
Representative Job Duties
- Conducts insurance pre-verification for upcoming visits using approved web-based resources.
- Ensures all patient insurance data submitted for claims in Epic is 100% accurate and complete.
- Contacts patients in advance to resolve insurance disputes or confirm coverage.
- Reviews and counsels Patient Support Associates (PSAs) on insurance verification procedures.
- Follows up on Patient Responsibility Forms to ensure accurate reimbursement.
- Contacts patients to obtain required referrals.
- Notifies Billing Staff to transfer claim charges to the correct insurance carrier as needed.
- Assists the Practice Manager with monthly and quarterly reports and audits.
- Provides registration support to other departments when necessary.
- Assists in training Patient Support Associates on insurance and access processes
- Assist patients in selecting eyeglass frames and lenses, providing guidance based on prescriptions and visual needs.
- Take accurate frame and facial measurements to ensure proper fit and lens positioning.
- Enter, track, and manage all eyeglass and contact lens orders in the system.
- Perform monthly inventory of contact lens trials, checking for expiration dates and reordering as needed.
- Adjust or repair eyeglass frames within scope of ability.
- Verify monthly vendor invoices against patient orders and submit to the Clinical Director for review.
- Maintain the optical dispensary inventory, including frames (MassHealth, self-pay, Davis Vision), OTC readers, cases, and
