Practice Manager – Dental and Eye Care Services
Job Summary
The Dental & Eye Care Operations Manager plays a key leadership role in ensuring smooth, efficient, and patient-centered operations across SBCHC’s dental and eye care departments. This position oversees provider schedules, optimizes appointment access, and ensures alignment between clinical, clerical, and provider staffing. By continuously monitoring operational metrics, productivity, call volumes, and patient demand, the Operations Manager proactively identifies opportunities for improvement and implements strategic solutions. The role collaborates closely with clinical leads, billing staff, and departmental leadership to enhance workflow efficiency, strengthen revenue cycle performance, and support high-quality patient care. In addition to driving customer service initiatives and managing performance improvement efforts, the Operations Manager fosters a culture of teamwork, accountability, and professional growth, ensuring staff are well trained, supported, and aligned with SBCHC’s mission and values.

Representative Job Duties
Administration
- Manages provider schedules, including:
- Creates and edits Epic templates, ensuring schedules are published 3-6 months in advance accordance to the booking needs of the clinic.
- Anticipates changes based on health center-wide schedules and is proactive in seeking out information related to possible scheduling changes.
- Ensures that clinical and clerical staffing and provider staffing schedules are optimally aligned.
- Monitors incoming call volumes, appointment demand, and availability, and works with departmental directors to ensure appointment access is aligned with demand.
- Proactively monitors, analyzes, collaboratively gathers input and options, and executes solutions to continuously improve dental and eye care operations.
- Monitors productivity, no show rates, new patients, and other operational metrics that impact clinical operations.
- Reviews activity reports and financial statements to determine progress and status in attaining objectives, and revises objectives and plans in accordance with current conditions.
- Develops, administers, and analyzes customer service data for performance improvement indicators and institutes improvements.
- Knowledgeable about dental and eye care billing and works closely with the Billing staff to minimize denials and maximize coding.
- Utilizes a strategic approach to improve the efficiency of eye and dental billing to reduce staff burden and increase accuracy as well as optimizing revenue generation
- Attend and coordinate meetings as needed to meet operations and revenue goals for SBCHC. Performs additional duties to fulfill SBCHC’s mission, as assigned.
- Attains computing proficiency: Epic and medical office procedures.
- Assumes other duties as required.
Management
- Fosters a spirit of teamwork and shared responsibility within and between departments.
- Sets clear expectations with direct reports on appropriate behaviors and work assignments, leading in alignment with the health center’s mission and values.
- Ensures staff have necessary training and support to successfully complete all job functions, including practice management system, EPIC, and front-end operations.
- Works closely with staff, Director of Operations, and HR to support feedback, performance improvement, and employee recognition, as appropriate.
- Coordinates closely with clinical leads to understand and address clinical performance concerns in staff
